PAYMENT POLICY

Payment Policies for Breaking BHAD Counseling, LLC

Breaking BHAD Counseling, LLC aims to ensure that clients understand their financial obligations while receiving a straightforward and transparent payment process of the highest quality. This payment policy outlines the expectations and procedures for payments, which helps maintain the practice’s economic health and provide consistent, reliable services to all clients.


1. Payment Requirements

Non-Refundable Deposit: To book all sessions, a non-refundable deposit of 50% of the session fee must be paid 24 hours before the scheduled session. The deposit secures your appointment and demonstrates your commitment to your mental health journey.

Remaining Balance: The remaining balance for your session must be paid before the session begins. You can make this payment before arrival or while waiting in the lobby, but the initial deposit must be paid 24 hours before the session begins.


2. Accepted Payment Methods

The following forms of payment are:

  • Credit cards (Visa, MasterCard, American Express, Discover)
  • Debit cards
  • Digital wallets (e.g., Apple Pay, Google Pay)
  • Bank transfers via Zelle ONLY


3. Insurance and Online Therapy Platforms

Private Practice Insurance Policy: Breaking BHAD Counseling, LLC does not directly accept insurance. Insured clients are encouraged to book sessions with the provider via online therapy platforms.

Online Therapy Platforms: Insured clients can schedule sessions via online therapy platforms such as Grow Therapy — https://growtherapy.com and Rula —https://www.rula.com. If you wish to use your insurance, please book sessions through these platforms and follow their payment policies.


4. Payment Obligations

Timely Payments: Clients are encouraged to fulfill their payment obligations in advance to avoid being billed for the total service price. Failure to complete payment before the session may result in the cancellation of the appointment and the application of a cancellation fee.

Late Payments: Payments not received by the start of the session will be considered late. Late payments may incur additional fees and affect your ability to schedule future appointments.


5. Cancellation and Refund Policy

Cancellation Policy: Please refer to our detailed cancellation policy for information on cancellations, late cancellations, and no-shows. Note that the non-refundable deposit is forfeited in case of a late cancellation or no-show.

Refunds: Refunds are not provided for late cancellations or no-shows. If an appointment is canceled with more than 24 hours' notice, any prepayments (excluding the non-refundable deposit) will be applied to the rescheduled session or refunded upon request.


6. Prepayment for Frequent Cancellations

Frequent Cancellations: Clients who frequently cancel or reschedule appointments (more than three times in six months) may be required to prepay for future sessions to secure their appointments.


7. Financial Hardship

Sliding Scale Fees: Financial hardship can hinder the receipt of necessary mental health services. Breaking BHAD Counseling, LLC offers sliding-scale fee slots based on financial need through Open Path Collective — https://openpathcollective.org/. Please contact me to discuss your situation and see if you qualify.

Payment Plans: We may offer payment plans on a case-by-case basis for clients experiencing temporary financial difficulties. Please contact me to discuss available options.

*SESSION PACKAGE POLICY*

Session Package Policy for Breaking BHAD Counseling, LLC

Breaking BHAD Counseling, LLC offers various session packages to provide clients with flexible and cost-effective options for their therapeutic needs. This policy outlines the terms and conditions of purchasing, scheduling, rescheduling, and canceling session packages to ensure a smooth and orderly process for all clients.


Payment Terms

  1. Payment Methods: Sessions can be paid via credit, debit, or bank transfers.
  2. Payment Schedule: Full payment is required upfront before the first session of the package.


Scheduling Sessions

  1. Initial Scheduling: Clients must schedule their first session within 30 days of purchasing a package.
  2. Ongoing Scheduling: Sessions can be scheduled in advance based on availability.


Rescheduling and Cancellations

  1. Rescheduling Policy: Clients may reschedule a session with at least 24 hours notice. Rescheduling requests made less than 24 hours before the session will be considered a late cancellation.
  2. Cancellation Policy: Clients may cancel a session with at least 24 hours notice without penalty. Cancellations made less than 24 hours before the session will result in the session being deducted from the package without a refund.


Expiration of Sessions

  1. Starter Package: Sessions must be used within three (3) months of the purchase date.
  2. Standard Package: Sessions must be used within six (6) months of purchase.
  3. Comprehensive Package: Sessions must be used within twelve (12) months of purchase.
  4. Unused Sessions: Any unused sessions after expiration will be forfeited without a refund.


Refund Policy

  1. Full Refund: Full refunds are available if requested within 14 days of purchase and before any sessions have been used.
  2. Partial Refund: If requested within 30 days of purchase, partial refunds are available for unused sessions. The refund will be precisely 50% of the initial session package fee.
  3. No Refunds: No refunds will be issued for any sessions after 30 days of purchase, regardless of usage.


Confidentiality and Privacy

All sessions are confidential and comply with the privacy regulations set forth by HIPAA and other applicable laws. Client information will not be shared without written consent except as required by law.

CANCELLATION POLICY

Cancellation Policy for Breaking BHAD Counseling, LLC

Breaking BHAD Counseling, LLC, knows that life can be unpredictable; sometimes, you may need to cancel or reschedule your appointment. The following cancellation policy has been established to provide all clients with the best possible service. This policy ensures fairness and consistency while accommodating clients' needs and maintaining the practice's financial health.


1. Cancellation Notice

24-Hour Notice Requirement: A minimum of 24 hours is required for all cancellations or rescheduling. If possible, clients are encouraged to move their in-person session to an online session if they cannot attend their in-person session, provided that the final payment is made before the session. It is recommended that clients choose this option rather than cancel or reschedule after the 24-hour requirement to avoid losing their deposit for their session and being charged for the remaining balance of the missed session.

2. Late Cancellations and No-Shows

Late Cancellations: Cancellations made less than 24 hours before the scheduled appointment will be considered late cancellations. A late % cancellation fee of 50% of the session fee will be charged.

No-Shows: Clients who do not attend their scheduled appointment without notice will be charged the full session fee.


3. Emergency Cancellations

Emergency Situations: Understandably, emergencies and unforeseen circumstances can occur. Please email me immediately if you need to cancel or reschedule your appointment due to an emergency. All emergencies will be evaluated on a case-by-case basis. Cancellation fees will be waived at the provider’s discretion.


4. Repeated Cancellations

Frequent Cancellations: Clients who frequently cancel or reschedule appointments (more than three times in six months) may be asked to pay the session price in full rather than make a deposit for future sessions or have their ability to schedule appointments restricted.


5. Non-Refundable Deposit

Deposit Policy: A non-refundable deposit is required to book all appointments. This deposit must be paid no later than 24 hours before the scheduled session and will be applied to the total session fee. The deposit is forfeited in the case of late cancellations or no-shows.

Payment of Remaining Balance: The remaining balance for your session must be paid before the session begins, either before arrival or while waiting in the lobby. Clients are encouraged to meet payment obligations to avoid being billed for the total service price.

Refunds: Refunds are not provided for late cancellations or no-shows. However, if an appointment is canceled or rescheduled with more than 24 hours notice, any prepayments (excluding the non-refundable deposit) will be applied to the rescheduled session or refunded upon request. Rescheduled sessions must be within 30 days from the rescheduled date.

CONSULTING & SPEAKING POLICY

1. CONSULTING

Consultation Fees: My consulting fees are current, as shown under “FEES," but are subject to change depending on the duration and type of consultation.  


Cancellation Policy: I understand that life can be unpredictable, and sometimes, you may need to cancel or reschedule your consultation appointment. To ensure that I can continue to offer flexible scheduling and accommodate all of my clients effectively, please review the following cancellation policy:

a. Notice Period

If you need to cancel or reschedule your appointment, please provide at least 24 hours. This allows me to offer the time slot to another client in need.

b. Late Cancellations

If you cancel your appointment with less than 24 hours notice, a cancellation fee of 50% of the consultation fee will be charged. This fee will be automatically applied to your account.


No-Show Policy:

You will be charged the full session fee if you do not attend your consultation appointment or give no notice. This fee must be paid before any future consulting appointments can be scheduled.


Rescheduling:

If you reschedule your appointment with at least 24 hours notice, there will be no charge. I will do my best to accommodate your new preferred time and date.


Emergency Exceptions:

I understand that emergencies happen. Please get in touch with me immediately if you need to cancel or reschedule due to an emergency. I will consider waiving the cancellation fee on a case-by-case basis.


How to Cancel or Reschedule:

Please get in touch with me via phone, email, or online booking system to cancel or reschedule your appointment. To avoid any misunderstandings, ensure you receive a confirmation of your cancellation or rescheduling request.


By booking a consultation appointment, you agree to this cancellation policy. Your understanding and cooperation allow me to maintain a schedule that accommodates as many clients as possible.


2. SPEAKING ENGAGEMENTS

Speaking Fees: My speaking fees are current but vary based on presentation length, audience size, and event type.

Speaking Cancellation by Client: If you need to cancel a speaking engagement, please be aware of the following terms:

Cancellation Notice: A written cancellation notice must be provided at least 30 days before the scheduled event date.

Cancellation Fees:

With more than 30 days' notice, no cancellation fee will be charged, but any non-refundable travel expenses already incurred will be billed.

15-30 days' notice: 50% of the agreed speaking fee will be charged, plus reimbursement for any non-refundable travel expenses already incurred.

Less than 15 days' notice: 100% of the agreed speaking fee will be charged, plus reimbursement for any non-refundable travel expenses already incurred.


TRAVEL COSTS FOR OUT-OF-TOWN SPEAKING ENGAGEMENTS
For speaking engagements that require travel outside of the Orlando, FL area, the following expenses must be covered by the client in addition to the speaking fee:

Flights: Round-trip airfare (economy or business class, depending on the duration and distance of travel).

Hotel Accommodation: At least one night's stay at a reputable hotel near the event venue. Depending on travel schedules and event timing, additional nights may be required.

Meals: A per diem rate for meals or reimbursement for actual food expenses incurred during travel.

Ground Transportation: Reimbursement for transportation to and from the airport, hotel, and event venue.


**These travel arrangements should be finalized and confirmed at least two weeks before the event to ensure a smooth and timely experience.**


RESCHEDULING

If you wish to reschedule the engagement instead of canceling, please get in touch with me as soon as possible. I will do my best to accommodate the new date, subject to availability, without additional fees. However, any non-refundable travel expenses incurred for the original date will be reimbursed.


CANCELLATION BY SPEAKER

If I need to cancel the speaking engagement due to unforeseen circumstances, I will provide as much notice as possible. I will work with you to reschedule the event at a mutually agreeable time. Any travel expenses incurred will be refunded or applied to the rescheduled date.
